General Refund Policy

Last Updated: December 2025

At Mosaic Virtual Business Consulting Group, we value transparent, ethical, and mutually beneficial client relationships. Our refund policy is designed to fairly protect both our clients and our consulting team while recognizing the professional time, expertise, and resources committed to each engagement.

1. General Policy Overview

Because consulting services involve the delivery of time, expertise, analysis, and intellectual capital, refunds are not automatic. However, we believe in accountability and fairness. Refunds may be granted under clearly defined circumstances outlined below.

All refund considerations are evaluated in good faith and handled professionally.

2. Eligibility for Refunds

Refunds may be considered when:

  • Services have not yet begun, and written cancellation is received prior to the start date

  • Mosaic Virtual Business Consulting Group is unable to deliver services due to internal constraints

  • There is a material failure to deliver agreed-upon services as defined in the signed proposal, agreement, or Statement of Work (SOW)

Refunds are evaluated based on the scope of work completed, time invested, and deliverables already provided.

3. Non-Refundable Services

The following are generally non-refundable:

  • Services that have already been rendered

  • Time spent on consultations, strategy sessions, research, analysis, or preparation

  • Delivered or partially delivered work products

  • Retainer fees once the retainer period has begun

  • Services delayed or impacted due to client-provided delays, incomplete information, or lack of participation

Professional time reserved and committed is considered earned once services commence.

4. Partial Refunds and Service Credits

In some situations, a partial refund or service credit may be offered, including:

  • Early termination of an engagement by the client

  • Mutual agreement to pause or discontinue services

  • Scope changes that reduce the original workload

When applicable, Mosaic Virtual Business Consulting Group may offer:

  • A prorated refund for unused services, or

  • A service credit that may be applied to future engagements

Service credits are non-transferable and typically expire within 6 months of end of initial contract agreement.

5. Client Satisfaction and Resolution First

Before any refund is issued, we encourage clients to engage in a resolution discussion. In many cases, concerns can be addressed through:

  • Clarification of expectations

  • Scope realignment

  • Revised deliverables

  • Additional guidance or adjustments

Our goal is successful outcomes—not premature disengagement.

6. Refund Request Process

To request a refund, clients must:

  • Submit a written request within [insert timeframe, e.g., 14 days] of the issue

  • Provide a clear explanation of the concern

  • Reference the applicable agreement or SOW

All requests are reviewed carefully and responded to within a reasonable timeframe.

7. Payment Method and Timing

Approved refunds will be issued using the original payment method whenever possible. Processing times may vary depending on the payment provider and financial institution.

8. Good Faith Clause

This refund policy is governed by principles of good faith, fairness, and professional integrity. Mosaic Virtual Business Consulting Group reserves the right to deny refund requests that fall outside the scope of this policy or that involve misuse of services, bad-faith actions, or violation of contractual terms.

9. Policy Updates

This Refund Policy may be updated periodically to reflect operational, legal, or business changes. The most current version will always be available on our website.

Retainer-based Refund Policy

Last Updated: December 2025

This Refund Policy applies exclusively to retainer-based consulting engagements with Mosaic Virtual Business Consulting Group (“Company”).

Because retainer services reserve professional capacity, expertise, and availability in advance, refunds are limited and governed by the terms below.

1. Retainer Structure and Purpose

A retainer secures dedicated consulting availability, priority access, and ongoing professional support for a defined period. Retainer fees compensate for time reserved, not solely for time used.

Accordingly, retainer fees are considered earned once the retainer period begins.

2. Non-Refundable Retainer Fees

Unless otherwise stated in writing:

  • Retainer fees are non-refundable once the retainer term has started

  • Unused hours or services do not roll over and are not refundable

  • Delays caused by the client do not pause or extend the retainer period

This structure ensures consistent availability and predictable resource planning for both parties.

3. Limited Refund Exceptions

A prorated refund may be considered only if:

  • Mosaic Virtual Business Consulting Group is unable to deliver services due to internal constraints, or

  • Services have not commenced and written cancellation is received prior to the retainer start date

Any refund determination is made at the sole discretion of the Company and reflects services already rendered and time reserved.

4. Early Termination by Client

If the client terminates the retainer early:

  • All fees paid remain non-refundable

  • Services conclude at the end of the current billing period

  • Outstanding invoices become immediately due

Early termination does not negate the value of availability already provided.

5. Service Credits (At Company Discretion)

In rare cases, and solely at the Company’s discretion, a service credit may be offered in lieu of a refund.
Service credits:

  • Are non-transferable

  • Have no cash value

  • Expire within [insert timeframe, e.g., 6 months]

  • May be applied only to future retainer engagements

6. Resolution Before Refund Consideration

Before any refund or credit is considered, clients agree to participate in a good-faith discussion to resolve concerns through:

  • Scope clarification

  • Priority realignment

  • Scheduling adjustments

  • Strategic recalibration

Our goal is productive continuity rather than disengagement.

07. Refund Request Procedure

All refund-related requests must:

  • Be submitted in writing

  • Reference the applicable agreement or SOW

  • Be received within 30 days of the issue

Requests submitted outside this window will not be considered.

8. Good Faith and Abuse Prevention

Mosaic Virtual Business Consulting Group reserves the right to deny refund or credit requests arising from:

  • Misuse of services

  • Bad-faith engagement

  • Repeated cancellations or scope changes

  • Violations of the Terms of Service

9. Policy Supremacy

This Refund Policy operates in conjunction with the Company’s Terms of Service and Privacy Policy. In the event of a conflict, the signed retainer agreement or Statement of Work shall govern.
